Policy:

The FANS (Food And Nutrition Services) Department will provide catering services with our wide variety of selections or customized programs for all Health System meetings as well as Community and Private Events.


Scope:

All Internal and external individuals and departments ordering/requesting Catering or Floor Stock via the Food And Nutrition Services Department at Opelousas General Health System.


Procedure:


GENERAL


Reserving Meeting Space –

Arrangements for Meeting space must be coordinated and confirmed with Kesia Fontenot @ extension 5335 prior to ordering catering


Scheduling Room Set Up –

Arrangements for Meeting space set-up must be coordinated and confirmed with Environmental Services @ extension 3974 or 3975 prior to ordering catering


Submitting Catering Request –

All Catering Requests must be submitted via Opelousas General Health Systems Intranet and clicking on FANS Catering Request Insert quick link. If requesting individual does not have access to OGHS Intranet they must contact the FANS Director at ext. 5230. All required fields must be completed prior to submitting orders. Once order is received and approved by the FANS Department, the individual submitting the order will receive confirmation of the approval.


Submitting Floor Stock Request –

All Floor Stock Requests must be submitted via Opelousas General Health Systems Intranet and clicking on FANS Floor Stock Request. If requesting individual does not have access to OGHS Intranet they must contact the FANS Director at ext. 5230. All required fields must be completed prior to submitting orders. Once order is received and approved by the FANS Department, the order will be filled within 24-48 hours.  

Catering Schedule –

Regular Catering Delivery hours are from 0600 to 1700 Monday through Friday. Any needs outside of these days and times may be coordinated with the FANS Director at Extension 5230. When submitting Catering Requests, the following times will be required (Food Delivery/Set Up Time, Meeting Start Time, and Meeting End Time).


Advance Notice –

All Catering Requests are to be submitted 72 hours prior to event (If event is on a Monday, event must be scheduled by the preceding Thursday). Catering Requests may be submitted up to 12 months in advance of the event.


Pricing –

All listed prices are per person (unless otherwise noted) and do not include any offsite delivery fees. Customized menu planning and pricing is available to meet your tastes and needs. Catering events will be charged for the guaranteed number of attendees or the actual number of attendees (whichever is greater)


 

Payment Terms –

For all Organizational Catering Events a cost center will be require for posting charges to. Outside individuals or groups will be required to make payment in advance via business check or credit card (to be processed by business office or retail operations).


 

Attendance Guarantee -

In order to ensure adequate time for food and staff coordination, the guaranteed number of attendees is required at least 48 hours prior to event. Events with less than the listed minimum for buffets will be charged for the minimum shown on the menu.


 

Cancellations / Changes –

Cancellations must be made 24 hours prior to event (Monday events must be cancelled by preceding Friday). If event is cancelled outside of these guidelines charges will apply for any items that are unable to be reallocated and/or 50% of total event cost.


Changes to menus, numbers of attendees may be made up to 72 hours in advance of the scheduled meeting and will be honored, if possible, by the FANS Department.


The FANS Director reserves the right to make changes to all catering events in consultation with the requestor or as necessary in the event of unforeseen circumstances or availability of products or services.


Delivery and Catering Services –

Delivery of catering events will be at no charge within the main building of the hospital. A delivery fee will be added to events outside the main building based on delivery method, equipment, time, and distance required to travel.


Leftovers and Breakdown –

To-Go Containers will not be provided. To minimize the rsik of food born illnesses due to improper food storage/handling; leftovers may only be removed from catering events by FANS personnel in accordance with Louisiana Department of Health and Hospitals and HACCP Policies and Guidelines. Should any food items be removed from the serving area without FANS awareness or approval the individual(s) removing such items assumes all responsibility and may not hold the FANS Department or OGHS liable for any adverse outcome or illness from consuming leftover food.


Serving pieces (china, flatware, containers, etc.) are not to be removed after an event by anyone other that FANS personnel. Should any provided items be missing after the event; replacements will be ordered and charged to the cost center ordering the event.


Additional Charges –

10% Service Charge for all required rentals, 10% Service Charge for vehicle rental (if required for off premises catering events, 15% delivery fee for offsite events.

Outside Caterers –

The use of outside caters is prohibited without VP Approval. All internal Catering should be processed through the FANS Department unless they are unable to provide needed services. If an outside caterer is approved; the FANS Department will not provide any equipment, services, and/or labor for the event – It will be the responsibility of the user to ensure that the event is handled properly and is set-up and broken down timely.


Private Events (Non-Organizational) –

OGHS Catering will honor Catering Requests made by outside individuals/organizations whose activities are compatible with the mission of Opelousas General Health System and as time and resources allow. Outside individuals/organizations should contact the FANS Department to plan catering. Prepayment or Deposit must be made no later that 15 Days from the date of the event.


Patient Care Precedence –

Above all, the FANS Departments main priority is to care for the patients of the organization. If necessary; in order to provide adequate patient care, any and all catering events may be cancelled. The requestor will be notified as quickly as possible prior to the event.
